ViaQuest Hospice progress this week.

August 24 to 28, 2026

Two long-running items closed last week. The census pipeline is restored, with the missing July records recovered and backfilled, which closes the gap that opened in July. The job board integration is live as well, so postings now flow straight into the applicant system rather than depending on paid sponsorship to reach candidates. This week the focus is the IT transition. The connectivity provider session runs on Tuesday covering office phones, field tablets, laptops, fax and internet, and we are preparing the equipment inventory and the responsibility handover list that sit behind it. The storefront reconnection and the census dashboard refresh continue alongside.

What we need What it releases
1. Sign-off on the consent and media release wording The What's Happening in ViaQuest Hospice module is built and waiting on this one item. It carries real consent implications for staff and family photographs, so it needs your legal review rather than ours. Nothing publishes until the wording is agreed.
2. The account and vendor detail behind the IT functions moving across For each function transferring, the account information, vendor contacts and the process as it runs today. This is what turns the transition into a plan with owners and dates against each item rather than a list of headings, and it is the piece we cannot assemble from our side.
3. Emergency preparedness and compliance training materials What is actually said in the session, not only the slides, plus the quiz. A recording covers it, and a set of the current materials lets us build the module rather than reconstruct it.
4. The Relias list marked required against optional Which modules are genuinely needed for survey compliance and which are not. It sets how many videos we produce and in what order, and it is the input the training build is currently waiting on.

Each measure carries a month-to-date and year-to-date view, a run rate, a comparison against goal, and a year-on-year comparison, so leadership reads the same set of numbers the organization tracked before the framework lapsed. Chief Financial Officer A financial dashboard. Income statement, balance sheet, aging, write-offs, day sales outstanding, vendor spend analysis, and cash flow forecasting in one place. The ask includes a link to the finance system of record so the figures refresh without manual re-entry. High
Chief Financial Officer A geographic staff and patient view. A map showing where staff are based against where patients are located, used for hiring decisions, marketing spend, and caseload planning. Checking mileage entered by staff and flagging entries that look wrong for a second look, for example too many miles between two points, or mileage logged at the start of a day when it should not be. The parameters can be built from the addresses already held in Home Care Home Base. High

Turning the working approach your auditing team put together into a supported tool, with a consistent audit pattern and a record of what was checked, rather than a manual pass each time. It reads from the Home Care Home Base data, so it depends on the connection described at the top of this report. High
Chief Financial Officer Medical coding review automation. Checking the diagnosis-based code on each care plan against the plan itself before claims go out, so billing accuracy is verified up front. The review follows a standard pattern across charts, which is what makes it a candidate for automation. The ask now also covers backing up or replacing the current manual coding process. Medium
Chief Financial Officer Monthly card statement distribution. Pulling each cardholder's monthly statement from the bank automatically and sending it to the cardholder and their approver, replacing the manual download that currently feeds every expense report. Client leadership Direct messaging to candidates. Text messaging to candidates from inside the system during the hiring process, so recruiters can reach people without leaving the dashboard. It needs the Microsoft enterprise account configured before it can be switched on. High
Chief Financial Officer An employee recognition platform. Replacing the current recognition tool with somewhere employees can recognize and celebrate one another, and HR can highlight new hires, birthdays, work anniversaries and regional compliance achievements. A points system where employees give and earn points redeemable against merchandise or other rewards has been suggested, and it could sit alongside the What's Happening in ViaQuest Hospice section. Client leadership A decision on the Relias contract. Whether Relias is retained past September or ViaQuest Hospice moves off it. The training content held there would either be rebuilt inside the portal or carried across as it stands, and the answer sets the sequence for the rest of the training build. A view on the renewal date, and on which content has to be preserved either way, lets that sequence be planned properly. High
HR Automated credential and compliance tracking. Replacing the manual spreadsheet. Staff see their own list inside their profile, reminders go out as items approach renewal, and managers get a view of what is overdue. Covers driver's license and expiry, auto insurance, CPR, and training accreditations. Medium
HR Sequential release of the training sections, with a record of acknowledgment. New hires currently move between the three training areas in any order. The ask is for Company Resources to be required first and the next section to open only on completion, without HR unlocking anything by hand. HR A separate HR and compliance route in the ticketing system. HR and IT share one category list today, so HR items land in the IT queue. This splits them, gives compliance its own path, and adds a channel for staff to raise a complaint. Medium

Client leadership A prayer call link on the website. ViaQuest Hospice runs an internal team prayer call each Thursday morning and is considering opening it to community partners. The request is to add a link on the website so partners can join. The logistics of opening the call up are still being settled on your side, and a short session is arranged to agree the approach. Chief Operating Officer A referral-provider intake portal. Referring providers register an account on the website and upload intake documents there, replacing the current fax process. Referrals arrive in one place and feed through to Home Care Home Base or the dashboard rather than being rekeyed. Medium
Chief Operating Officer A marketing collateral library. Approved collateral held in the portal for staff to view and download, with no upload rights for associates. Managers, HR, and admins get a form to request a new piece, which routes to whoever approves it. Medium

Founder A full brand transition from ViaQuest Hospice to Cairo Hospice. A program of work rather than a single task. It reaches the training portal, the website, every piece of learner-facing training content, company documents, email domains, and marketing materials. It needs an inventory of everything carrying the current brand, then a phased sequence so each system changes in the right order and nothing breaks partway through. High

Live and in daily use

The portal is live and in daily use, and this section covers everything running inside it, including the training platform. The volunteer module and the internal announcement feature both went live this week, dashboard cards can now be ordered the way you want them, and completion in the training platform now counts course quizzes and the mastery exam. Two things go in this week: the rewards notice, and the corrected addresses on the Google profiles.

Assessment under way, data rebuild next

Global Administrator access on the tenant is in place and confirmed working, which is what makes the current review possible. The work now is an assessment of what the earlier tenant transfer left behind, going through it properly rather than patching around it. Alongside that, the data rebuild begins once the requestor list at Home Care Home Base is corrected.
