01 / THE WEEK

ViaQuest Hospice progress this week.

August 10 to 14, 2026

The What's Happening in ViaQuest Hospice module is built and it goes out to everyone this week. Branches submit photos and short videos from the field, marketing reviews them before anything is used, and the media release step sits inside the flow rather than alongside it. Work roles went in at the same time, which means a role now carries its own training set and putting someone into a role assigns their courses in one step. Three new hires came through the portal for the first time last week and the flow held. This week also brings the full portal review with your leadership team and a joint session with your IT team on the Home Care Home Base connection.

What we need
What we need from ViaQuest Hospice.

These are the inputs we need from your side to keep the work moving. Each one releases a specific piece of the build.

What we need Details
1. The info@ViaQuestHospice.com routing decision The careers mailbox is now a shared mailbox and your HR team has direct access, so that item is closed. What remains is how info@ViaQuestHospice.com should behave. The recommendation is a distribution list reaching the two people who handle it today. A short confirmation either way lets it be set.
2. Home Care Home Base data access Testing continues with your IT team and a short list of access and monitoring items is being worked through together. Confirming the remaining items lets the census verification finish.
3. Sign-off on the consent and media release wording The What's Happening in ViaQuest Hospice module carries real consent wording and a full media release document, and staff sign either on screen or by uploading a signed paper form. Before the feature opens to branches, the wording needs a read and an approval from whoever owns compliance on your side. This is the last item between the build and staff using it.
4. Emergency preparedness and compliance training materials The session presentation, a recording from the live sessions, and the quiz. The training video content gets built from those, and recording the next live session would give us what we need without extra work for your team.

Dashboards and reporting
Chief Financial Officer A KPI framework across the business. Around twenty-five measures spanning sales, operations and clinical, quality, and financial performance. Each measure carries a month-to-date and year-to-date view, a run rate, a comparison against goal, and a year-on-year comparison, so leadership reads the same set of numbers the organization tracked before the framework lapsed. High
Chief Financial Officer A financial dashboard. Income statement, balance sheet, aging, write-offs, day sales outstanding, vendor spend analysis, and cash flow forecasting in one place. The ask includes a link to the finance system of record so the figures refresh without manual re-entry. High
Chief Financial Officer A geographic staff and patient view. A map showing where staff are based against where patients are located, used for hiring decisions, marketing spend, and caseload planning. Because it places patient location data on a map, it needs a privacy review before it is scoped. That is a governance step, not an objection. Low
Automation
Chief Operating Officer Chart review and QAPI audit automation. Turning the working approach your auditing team put together into a supported tool, with a consistent audit pattern and a record of what was checked, rather than a manual pass each time. It reads from the Home Care Home Base data, so it depends on the connection described at the top of this report. High
Chief Financial Officer Medical coding review automation. Checking the diagnosis-based code on each care plan against the plan itself before claims go out, so billing accuracy is verified up front. The review follows a standard pattern across charts, which is what makes it a candidate for automation. Medium
HR and onboarding
Client leadership A decision on the Relias contract. Whether Relias is retained past September or ViaQuest Hospice moves off it. The training content held there would either be rebuilt inside the portal or carried across as it stands, and the answer sets the sequence for the rest of the training build. A view on the renewal date, and on which content has to be preserved either way, lets that sequence be planned properly. High
HR Automated credential and compliance tracking. Replacing the manual spreadsheet. Staff see their own list inside their profile, reminders go out as items approach renewal, and managers get a view of what is overdue. Covers driver's license and expiry, auto insurance, CPR, and training accreditations. Medium
HR A separate HR and compliance route in the ticketing system. HR and IT share one category list today, so HR items land in the IT queue. This splits them, gives compliance its own path, and adds a channel for staff to raise a complaint. Medium
Portal features
Client leadership A prayer call link on the website. ViaQuest Hospice runs an internal team prayer call each Thursday morning and is considering opening it to community partners. The request is to add a link on the website so partners can join. The logistics of opening the call up are still being settled on your side, and a short session is arranged to agree the approach. Medium
Chief Operating Officer A referral-provider intake portal. Referring providers register an account on the website and upload intake documents there, replacing the current fax process. Referrals arrive in one place and feed through to Home Care Home Base or the dashboard rather than being rekeyed. Medium
Chief Operating Officer A marketing collateral library. Approved collateral held in the portal for staff to view and download, with no upload rights for associates. Managers, HR, and admins get a form to request a new piece, which routes to whoever approves it. Medium
Brand
Founder A full brand transition from ViaQuest Hospice to Cairo Hospice. A program of work rather than a single task. It reaches the training portal, the website, every piece of learner-facing training content, company documents, email domains, and marketing materials. It needs an inventory of everything carrying the current brand, then a phased sequence so each system changes in the right order and nothing breaks partway through. High
Founder An individual marketing and social media plan for the Founder. A personal content and social plan, separate from the ViaQuest Hospice organizational channels, covering content themes, posting cadence, and which platforms to run. A draft is prepared and in internal review before it comes across. Medium

Role-based assignment live, role-specific track complete

The portal is live with Orientation, Company Resources and the Hospice Foundation modules across the full portal, and role-based assignment now puts a person into their training in one step. The role-specific track is complete, so each role carries its own Home Care Home Base links. Work this week is the liaison onboarding, which is being reworked so it reflects how liaisons actually work rather than following the standard clinical path.

Task Owner When Notes
Liaison onboarding rework AIDM This week Reworking the Community Liaison onboarding so it matches the role. Liaisons work through Relias and the CRM rather than the clinical systems in the standard track, and the daily morning liaison call is built into the first week.
Emergency preparedness and compliance training AIDM Awaiting The sessions run live for the first cycle. The video content gets built from the session presentation and recording once those arrive.

What's Happening in ViaQuest Hospice going live this week, storefront in build

The portal is built and running, with role-based dashboards for managers, HR and admins. The What's Happening in ViaQuest Hospice module went in last week, so branches submit photos and short videos from the field and the media release step sits inside the flow rather than beside it. This week's build is the storefront, where staff order uniforms and claim training rewards in one place.

Task Owner When Notes
What's Happening in ViaQuest Hospice rollout AIDM This week Opening the What's Happening in ViaQuest Hospice module to all branches once the consent wording is signed off, so teams can start posting from the field.
Storefront: uniform ordering and rewards AIDM This week The storefront where staff order uniforms and claim training rewards after completing their training, connecting through to the supplier, so onboarding runs as one flow.
Census dashboard refresh AIDM In progress A cleaner drill-down view, with audit and reconciliation underway. The live figure depends on the data connection noted at the top of this report.
Admission booklet requests AIDM Scoping A button to request admission booklets and forms, routed to the person who places those orders.
Family and facility surveys AIDM In progress The question list is in and the build is under way. The surveys come back to you for review before they go live.

Recruitment, remaining onboarding forms, surveys and the annual training

The onboarding flow stays the focus: the Day 1 and Day 30 forms and the HR assistant, alongside the automated survey program, the portal document library, and a single approver path for job approvals. The recruitment platform connection is the priority item this week. The wider set of HR asks from your team sits in the Requests received section above while it is scoped.

TaskOwnerWhenNotes
Recruitment platform connection AIDM This week Completing the connection between the job board and the applicant tracking system so posts and applications move both ways without manual re-entry. Priority item this week.
New-hire notification workflow AIDM This week Marking a candidate as hired notifies IT support and the rewards owner, and captures start date, pay type and employment status, carrying through job title, office location and full name.
Uniform details in the onboarding form AIDM This week Uniform size and style questions move into the onboarding form so order details are captured at intake rather than collected by hand on the first day.
Single approver on job approvals AIDM This week Merging the two HR approver options into one, so either HR team member routes an approval to the Chief Operating Officer without picking the right name first.
Reference request emails AIDM In progress Reference requests sent automatically from your HR team's own templates once intake forms come in.
HR AI chatbot AIDM In progress An assistant that answers staff policy questions from the HR policy set, in build now.
Employee surveys AIDM In progress Automated 30-day, 90-day, and exit surveys pushed to staff in the portal, scheduled to go live this month.
Document library and filing system AIDM In progress Configuring the portal file system with restricted folders for HR and administrative access, and setting the library structure so policies are simple to find.
Annual HR and management training AIDM and ViaQuest Hospice Planning Bringing both HR training tracks into the portal. Your HR team supplied the full content on July 16: four compliance videos and a quiz for the annual all-employee track, and nine modules for the supervisor track with two still to be created. In planning now, so the annual track can be assigned in January as it is today.
IT infrastructure
In progress
Data access and transition support with your IT team

The Microsoft tenant migration has completed and the infrastructure sits in the ViaQuest Hospice tenant, with your own IT team holding it from here. What remains on our side is narrower: finishing the Home Care Home Base connection so census figures verify against the source, and following up the items from the August 7 transition review. Support routing is also settling into a single path so each request reaches the right owner, with the portal coming to AIDM and Microsoft, Home Care Home Base, Paycor and the clinical tools going to the ViaQuest Hospice IT team and the department owners.

Task Owner When Notes
Home Care Home Base connection AIDM and ViaQuest Hospice IT This week A joint working session with your IT team to finish the connection testing and open the data feed fully.
Transition review follow-up AIDM and ViaQuest Hospice IT In progress Working through the items from the August 7 review with your IT team, including the remaining mailbox moves and the document library structure in SharePoint.
IT ticket notification routing AIDM In progress Ticket notifications route to the ViaQuest Hospice support address so the IT admin is notified directly.
Support routing AIDM In progress One place to raise a request, routed to the right owner: portal to AIDM, Microsoft to IT, Home Care Home Base to the clinical team, Paycor to HR. The category-based routing is being finalized.
Email consolidation AIDM In progress Consolidating to the new ViaQuest Hospice addresses: a single HR inbox, the info inbox, and a compliance inbox.
