The liaison training track is finished and the training links for all seven roles are loaded, so this week moves to building the role-specific track itself. On the portal side, the CRM and dashboard pages were reworked last week, IT ticket notifications now route to the ViaQuest Hospice support address, and the HR document library and job-approval work is underway. The Home Care Home Base connection still sits in the wrong tenant, so census data is the only data reaching AIDM today, and every dashboard, KPI, reporting and automation request waits on the tenant migration. The first item below sets out what that means and what it releases.
What we need
What we need from ViaQuest Hospice.
These are the inputs we need from your side to keep the work moving. Each one releases a specific piece of the build.
| What we need | Details |
|---|---|
| 1. The Home Care Home Base data moved into the ViaQuest Hospice tenant (most urgent) | The Home Care Home Base link is live and working. It sits inside the ViaQuest Inc tenant rather than the ViaQuest Hospice tenant, so the only data AIDM reaches through it today is census data. Nothing else comes through. Until the tenant migration is complete, AIDM has no access to the wider Home Care Home Base data the automations and the new reporting are built on. Every dashboard, KPI, reporting and automation request your team has raised sits behind this one item. The migration sits with your team and your IT provider. AIDM validates the connection and builds against it as soon as it exists. |
| 2. Onboarding details for the two new hires starting August 3 | Your HR team asked on July 21 what AIDM needs to set them up. The list is short: names, roles, reporting lines, and start dates. With those, portal accounts, role-based training assignment, and credential tracking are all in place before their first day. AIDM moves on it as soon as the details arrive. |
| 3. The marketing collateral folder and a priority list | A folder of the existing materials, plus a list of the pieces the team uses most often. That set defines the first version of the collateral library. |
| 4. Emergency preparedness and compliance training materials | The session presentation and a recording from the live sessions. The training video content gets built from those. |
| 5. An owner for the storefront and the Grit and Grace awards | Staff are completing training and claiming rewards, and Grit and Grace nominations are open, but there is nobody set up on the ViaQuest Hospice side to fulfill storefront orders or run the monthly award selection. One named owner for both is what this needs. |
| 6. Survey questions for the family and facility surveys | The survey framework is built and sitting in the portal for review. It needs your question list, plus any limits on what the surveys are allowed to ask. |
Requests received
Requests received.
Requests received from your team, grouped by area, with the role each came from and a priority read. These are being scoped and will come back with timing.
15 requests
| Requested by | Request | Priority |
|---|---|---|
| Dashboards and reporting | ||
| Chief Financial Officer | A KPI framework across the business. Around twenty-five measures spanning sales, operations and clinical, quality, and financial performance. Each measure carries a month-to-date and year-to-date view, a run rate, a comparison against goal, and a year-on-year comparison, so leadership reads the same set of numbers the organization tracked before the framework lapsed. | High |
| Chief Financial Officer | A financial dashboard. Income statement, balance sheet, aging, write-offs, day sales outstanding, vendor spend analysis, and cash flow forecasting in one place. The ask includes a link to the finance system of record so the figures refresh without manual re-entry. | High |
| Chief Financial Officer | A geographic staff and patient view. A map showing where staff are based against where patients are located, used for hiring decisions, marketing spend, and caseload planning. Because it places patient location data on a map, it needs a privacy review before it is scoped. That is a governance step, not an objection. | Low |
| Automation | ||
| Chief Operating Officer | Chart review and QAPI audit automation. Turning the working approach your auditing team put together into a supported tool, with a consistent audit pattern and a record of what was checked, rather than a manual pass each time. It reads from the Home Care Home Base data, so it depends on the connection described at the top of this report. | High |
| Chief Financial Officer | Medical coding review automation. Checking the diagnosis-based code on each care plan against the plan itself before claims go out, so billing accuracy is verified up front. The review follows a standard pattern across charts, which is what makes it a candidate for automation. | Medium |
| HR and onboarding | ||
| HR | Migrating the HR training off the current learning system. Two tracks move into the training portal: an annual all-employee track of four compliance videos with a quiz, and a supervisor track of nine modules ending in a completion certificate. Two of the supervisor modules do not exist yet and need building from scratch. | High |
| HR | Automated credential and compliance tracking. Replacing the manual spreadsheet. Staff see their own list inside their profile, reminders go out as items approach renewal, and managers get a view of what is overdue. Covers driver's license and expiry, auto insurance, CPR, and training accreditations. | Medium |
| HR | A separate HR and compliance route in the ticketing system. HR and IT share one category list today, so HR items land in the IT queue. This splits them, gives compliance its own path, and adds a channel for staff to raise a complaint. | Medium |
| HR | Extra fields on the Day-1 intake form. Adding driver's license, insurance details, and uniform sizing to the form new hires already complete, so the information arrives once at the start and feeds the credential tracking above instead of being printed and filed by hand. | Low |
| HR | An HR assistant for policy questions. Staff ask a question and get an answer drawn from the HR policy set. Part of the source material is no longer available and needs recreating first, so the content work comes ahead of the build. | Low |
| Portal features | ||
| Chief Operating Officer | A referral-provider intake portal. Referring providers register an account on the website and upload intake documents there, replacing the current fax process. Referrals arrive in one place and feed through to Home Care Home Base or the dashboard rather than being rekeyed. | Medium |
| Chief Operating Officer | A marketing collateral library. Approved collateral held in the portal for staff to view and download, with no upload rights for associates. Managers, HR, and admins get a form to request a new piece, which routes to whoever approves it. | Medium |
| Chief Operating Officer | Staff photo and video sharing, "What's Happening @ViaQuestHospice". A place for teams to post photos and short videos from the branches, with a media-release step before anything is published. Your team is setting the file size limit, which also sets the storage to provision. | Medium |
| Brand | ||
| Founder | A full brand transition from ViaQuest Hospice to Cairo Hospice. A program of work rather than a single task. It reaches the training portal, the website, every piece of learner-facing training content, company documents, email domains, and marketing materials. It needs an inventory of everything carrying the current brand, then a phased sequence so each system changes in the right order and nothing breaks partway through. | High |
| Founder | An individual marketing and social media plan for the Founder. A personal content and social plan, separate from the ViaQuest Hospice organizational channels, covering content themes, posting cadence, and which platforms to run. A draft is prepared and in internal review before it comes across. | Medium |

Launched
Liaison track closed, role-specific track in build
The portal is live with Orientation, Company Resources, and the Hospice Foundation modules in place across the full portal. The liaison track finished last week, closing all eight videos. Work now moves to the fourth section, role-specific training. The Home Care Home Base training links for all seven roles are loaded, and about seventy percent of the content repeats across roles, so one track gets built once and then duplicated per role with that role's own links swapped in.
| Task | Owner | When | Notes |
|---|---|---|---|
| Role-specific training track | AIDM | This week | Building the fourth training section. One track built once, then duplicated per role with that role's own Home Care Home Base links swapped in. |
| Role-based training assignment | AIDM | In progress | The employee roster arrived on July 16, so assigning training by role is unblocked and now in build. Manual assignment continues meanwhile. |
| Emergency preparedness and compliance training | AIDM | Awaiting | The sessions run live for the first cycle. The video content gets built from the session presentation and recording once those arrive. |
Portal operations
Launched
Dashboards reworked, portal features in build
The portal is built and running, with role-based dashboards for managers, HR, and admins and a reorganized training admin area. Last week the CRM and dashboard pages were reworked so the active counts are accurate and the stage views are clean. Alongside daily operations, work this week covers mailbox access for the HR team and the recruitment platform re-validation.
Platform status
| System | Status | Notes |
|---|---|---|
| HR Dashboard and ATS | Launched, in progress | New features being added, with the job board posting integration resolved and email marketing automation underway |
| CRM System | Launched | Opportunity, salespeople, and employee pages reworked so the active counts and stage views are accurate |
| Census Retention | Launched, awaiting | Associates see the census number in the portal. The figure comes from the earlier Home Care Home Base connection rather than a live link, with audit and reconciliation underway until the data connection is restored |
| IT Support Feature | Launched, in progress | FAQ section, ticketing dashboard, and admin controls in place, with a step-by-step staff guide published. Category-based routing and notification routing are being finalized |
| Website and SEO | Launched | Profile, address, and email details updated, a new leadership headshot added, the search console feed issue fixed, and indexing requested for the remaining pages |
| Social Media Automation | Launched | Account access sits with the ViaQuest Hospice social media lead, with content on a 3:1 hiring to care ratio |
| Task | Owner | When | Notes |
|---|---|---|---|
| Census dashboard refresh | AIDM | In progress | A cleaner drill-down view, with audit and reconciliation underway. The live figure depends on the data connection noted at the top of this report. |
| Family and facility surveys | AIDM | Awaiting | The survey framework is in the portal for review, awaiting the question list. |
| In-portal uniform ordering | AIDM | Scoping | Order uniforms from the portal after training, enter a delivery address, order placed, connecting directly to the uniform supplier. |
| Admission booklet requests | AIDM | Scoping | A button to request admission booklets and forms, routed to the person who places those orders. |
| Careers mailbox access for the HR team | AIDM | This week | Resolving the sign-in problem stopping an HR team member from reaching the careers and applicant tracking mailbox, so applications are worked from the dashboard without a workaround. |
| Recruitment platform integration | AIDM | In progress | The job feed issues are resolved. The integration sits with the recruitment platform for re-validation, and postings flow through automatically once that clears. |
HR and operations
In progress
Surveys, document library, and approvals
Three committed builds are in flight here: the automated employee survey program, the portal document library and filing system, and a single approver path for job approvals. The wider set of HR asks from your team, covering credential tracking, the Day-1 form, HR and compliance ticketing, an HR assistant, and moving the HR training across, sits in the Requests received section above while it is scoped.
| Task | Owner | When | Notes |
|---|---|---|---|
| Employee surveys | AIDM | In progress | Automated 30-day, 90-day, and exit surveys pushed to staff in the portal, scheduled to go live this month. |
| Document library and filing system | AIDM | In progress | Configuring the portal file system with restricted folders for HR and administrative access, and setting the library structure so policies are simple to find. Came out of the July 16 HR portal planning session. |
| Single approver on job approvals | AIDM | This week | Merging the two HR approver options into one, so either HR team member routes an approval to the Chief Operating Officer without picking the right name first. |

Support routing and tenant handover
Support is moving to a single routing point so each request reaches the right owner: the portal and its links to AIDM, and Microsoft, Home Care Home Base, Paycor, and the clinical tools to the ViaQuest Hospice IT team and the department owners. The Microsoft tenant handover runs alongside it, moving ownership of the Home Care Home Base data to ViaQuest Hospice. Both the handover and the data connection behind it depend on access from your IT team, so AIDM's part of this work starts once that access is granted.
| Task | Owner | When | Notes |
|---|---|---|---|
| IT ticket notification routing | AIDM | This week | Ticket notifications route to the ViaQuest Hospice support address so the IT admin is notified directly. Agreed July 17, building this week. |
| Support routing | AIDM | In progress | One place to raise a request, routed to the right owner: portal to AIDM, Microsoft to IT, Home Care Home Base to the clinical team, Paycor to HR. The category-based routing is being finalized. |
| Tenant handover | ViaQuest Hospice IT | In progress | Moving the Microsoft tenant to the ViaQuest Hospice IT team so the Home Care Home Base data is owned by ViaQuest Hospice. This is also the route to the wider data connection described at the top of this report. |
| Email consolidation | AIDM | In progress | Consolidating to the new ViaQuest Hospice addresses: a single HR inbox, the info inbox, and a compliance inbox. |
