ViaQuest Hospice progress this week.
The portal review with your leadership team ran on Thursday and covered the command center, the training platform end to end, the CRM and the recruitment side. Coming out of it, the training platform now counts course quizzes and the mastery exam toward the completion figure, the rewards program unlocks only at genuine one hundred percent completion, and dashboard cards can be arranged manually. The volunteer module and the internal announcement feature are both live. Global Administrator access on the tenant is confirmed working, and the assessment of the earlier tenant transfer has started. This week the focus is the Home Care Home Base rebuild, reconnecting the interview calendar, and reconnecting the storefront.
What we need
What we need from ViaQuest Hospice.
| What we need | What it releases |
|---|---|
| 1. Sign-off on the consent and media release wording | The What's Happening in ViaQuest Hospice module is built and waiting on this one item. It carries real consent wording and a full media release document, and staff sign either on screen or on paper. Because posts can include patients, families and minors, the wording has to be yours before anything goes live. Once it lands the module goes out to everyone. |
| 2. The corrected Home Care Home Base requestor list | The list held by Home Care Home Base still carries old addresses, so in practice only one person can raise a ticket. Getting it corrected through your account representative is what lets us request the logs and rebuild the data lost while the connection was down. Every dashboard, KPI and reporting request sits behind that data coming back. |
| 3. Emergency preparedness and compliance training materials | What is actually said in the session, not only the slides, plus the quiz. A recording covers it, and a set of talking points works just as well. The video content gets built from whichever is easier to produce. |
| 4. The Relias list marked required against optional | Which modules are genuinely needed for survey compliance and which are not. It sets how many videos we produce and how long that takes, and it feeds the decision on whether a short extension is worth having. |
Requests received
Requests received.
Requests received from your team, grouped by area, with the role each came from and a priority read. These are being scoped and will come back with timing.
20 requests
| Requested by | Request | Priority |
|---|---|---|
| Dashboards and reporting | ||
| Chief Financial Officer | CRM phase 2. Moving the CRM on from a note-taking engine to an analysis and insight engine, feeding AI-generated content and analysis back to the team. The ask can be broken into phases, and a more detailed overview has been shared with us. | High |
| Chief Financial Officer | A KPI framework across the business. Around twenty-five measures spanning sales, operations and clinical, quality, and financial performance. Each measure carries a month-to-date and year-to-date view, a run rate, a comparison against goal, and a year-on-year comparison, so leadership reads the same set of numbers the organization tracked before the framework lapsed. | High |
| Chief Financial Officer | A financial dashboard. Income statement, balance sheet, aging, write-offs, day sales outstanding, vendor spend analysis, and cash flow forecasting in one place. The ask includes a link to the finance system of record so the figures refresh without manual re-entry. | High |
| Chief Financial Officer | A geographic staff and patient view. A map showing where staff are based against where patients are located, used for hiring decisions, marketing spend, and caseload planning. Because it places patient location data on a map, it needs a privacy review before it is scoped. That is a governance step, not an objection. | Low |
| Automation | ||
| Chief Financial Officer | A mileage review workflow. Checking mileage entered by staff and flagging entries that look wrong for a second look, for example too many miles between two points, or mileage logged at the start of a day when it should not be. The parameters can be built from the addresses already held in Home Care Home Base. | High |
| Chief Financial Officer | Billing exploration. Looking at claims submission, denials resubmission, eligibility and insurance checks, and payment posting, to see where the process can be supported or automated. | High |
| Chief Financial Officer | Intake and referral into the Home Care Home Base workflow. Examining how a referral is taken and how it enters the clinical workflow, to find the points where the handover can be tightened. | Medium |
| Chief Operating Officer | Chart review and QAPI audit automation. Turning the working approach your auditing team put together into a supported tool, with a consistent audit pattern and a record of what was checked, rather than a manual pass each time. It reads from the Home Care Home Base data, so it depends on the connection described at the top of this report. | High |
| Chief Financial Officer | Medical coding review automation. Checking the diagnosis-based code on each care plan against the plan itself before claims go out, so billing accuracy is verified up front. The review follows a standard pattern across charts, which is what makes it a candidate for automation. The ask now also covers backing up or replacing the current manual coding process. | Medium |
| HR and onboarding | ||
| Client leadership | Direct messaging to candidates. Text messaging to candidates from inside the system during the hiring process, so recruiters can reach people without leaving the dashboard. It needs the Microsoft enterprise account configured before it can be switched on. | High |
| Chief Financial Officer | An employee recognition platform. Replacing the current recognition tool with somewhere employees can recognize and celebrate one another, and HR can highlight new hires, birthdays, work anniversaries and regional compliance achievements. A points system where employees give and earn points redeemable against merchandise or other rewards has been suggested, and it could sit alongside the What's Happening in ViaQuest Hospice section. | High |
| Client leadership | A decision on the Relias contract. Whether Relias is retained past September or ViaQuest Hospice moves off it. The training content held there would either be rebuilt inside the portal or carried across as it stands, and the answer sets the sequence for the rest of the training build. A view on the renewal date, and on which content has to be preserved either way, lets that sequence be planned properly. | High |
| HR | Automated credential and compliance tracking. Replacing the manual spreadsheet. Staff see their own list inside their profile, reminders go out as items approach renewal, and managers get a view of what is overdue. Covers driver's license and expiry, auto insurance, CPR, and training accreditations. | Medium |
| HR | A separate HR and compliance route in the ticketing system. HR and IT share one category list today, so HR items land in the IT queue. This splits them, gives compliance its own path, and adds a channel for staff to raise a complaint. | Medium |
| Portal features | ||
| Client leadership | Swag vendor connection. Connecting the new merchandise vendor to the dashboard by API so reward claims order automatically rather than being placed by hand. Reconnecting the storefront itself is already under way and is separate from this. | Medium |
| Client leadership | A prayer call link on the website. ViaQuest Hospice runs an internal team prayer call each Thursday morning and is considering opening it to community partners. The request is to add a link on the website so partners can join. The logistics of opening the call up are still being settled on your side, and a short session is arranged to agree the approach. | Medium |
| Chief Operating Officer | A referral-provider intake portal. Referring providers register an account on the website and upload intake documents there, replacing the current fax process. Referrals arrive in one place and feed through to Home Care Home Base or the dashboard rather than being rekeyed. | Medium |
| Chief Operating Officer | A marketing collateral library. Approved collateral held in the portal for staff to view and download, with no upload rights for associates. Managers, HR, and admins get a form to request a new piece, which routes to whoever approves it. | Medium |
| Brand | ||
| Founder | A full brand transition from ViaQuest Hospice to Cairo Hospice. A program of work rather than a single task. It reaches the training portal, the website, every piece of learner-facing training content, company documents, email domains, and marketing materials. It needs an inventory of everything carrying the current brand, then a phased sequence so each system changes in the right order and nothing breaks partway through. | High |
| Founder | An individual marketing and social media plan for the Founder. A personal content and social plan, separate from the ViaQuest Hospice organizational channels, covering content themes, posting cadence, and which platforms to run. A draft is prepared and in internal review before it comes across. | Medium |
Portal Operations
Launched
Live and in daily use
The portal is live and in daily use, and this section covers everything running inside it, including the training platform. The volunteer module and the internal announcement feature both went live this week, dashboard cards can now be ordered the way you want them, and completion in the training platform now counts course quizzes and the mastery exam. Two things go in this week: the rewards notice, and the corrected addresses on the Google profiles.
| Task | Owner | When | Notes |
|---|---|---|---|
| Rewards notice on the portal | AIDM | This week | A message on the rewards page telling staff there is a backlog on merchandise, to keep going with their training, and that items will follow, possibly several at once. Target for fulfilment is October 1st. |
| Google Business Profile addresses | AIDM | This week | Correcting the Somerset and Marysville addresses on the Google profiles, taking the current addresses from the website. |
| Storefront reconnection | AIDM | In progress | Reconnecting the merchandise storefront so reward claims can be fulfilled again. |
| Census dashboard refresh | AIDM | In progress | Rebuilding the census reporting as the Home Care Home Base data comes back. |
| Liaison orientation, days one to five | AIDM | In progress | Reworking the five-day orientation for the liaison role so it follows the same shape as the other role-based tracks, with the right content on each day rather than a single block. |
| What's Happening in ViaQuest Hospice rollout | AIDM | Awaiting | Built and ready. It goes out to everyone as soon as the consent and media release wording is signed off. |
| Emergency preparedness and compliance training | AIDM | Awaiting | Waiting on the session presentation, a recording and the quiz. The video content gets built from those. |
| Family and facility surveys | AIDM | Awaiting | Building the survey flows once the questions are agreed. |
| Admission booklet requests | AIDM | Scoping | Working out how booklet requests are raised and fulfilled through the portal. |

Built to your ranked order
The order below is yours. Your team ranked every item on this list and the work follows that ranking. The screener questions are rebuilt to the format the job board requires and validated live, which was the last technical item in the way on the recruitment platform. Job approvals are being rerouted so a request reaches the Chief Operating Officer first and then HR.
| Task | Owner | When | Notes |
|---|---|---|---|
| Recruitment platform connection | AIDM | In progress | Your first priority. The screener questions are validated live and completing the connection is what removes the per-posting cost. |
| New-hire notification workflow | AIDM | In progress | Automatic notifications when a candidate is marked hired, so onboarding starts without a handover email. |
| Employee surveys | AIDM | In progress | The 30, 90 and exit survey program. |
| Reference request emails | AIDM | In progress | Automated reference requests as part of the hiring flow, sending direct from the application page. |
| Uniform details in the onboarding form | AIDM | In progress | Capturing uniform sizes and preferences at onboarding so the order can be placed without a separate exchange. |
| Annual HR and management training | AIDM and ViaQuest Hospice | Planned | Scoping the annual training program with your HR team. |
| Job approvals routed to the COO first | AIDM | In progress | Changing the approval route so a job request goes to the Chief Operating Officer first and then to HR, removing the step where HR receives it only to pass it on. |
| Document library and filing system | AIDM | In progress | A structured document library in the portal for HR and operations files. |
| HR AI chatbot | AIDM | In progress | An assistant inside the portal answering common HR questions. |

Assessment under way, data rebuild next
Global Administrator access on the tenant is in place and confirmed working, which is what makes the current review possible. The work now is an assessment of what the earlier tenant transfer left behind, going through it properly rather than patching around it. Alongside that, the data rebuild begins once the requestor list at Home Care Home Base is corrected.
| Task | Owner | When | Notes |
|---|---|---|---|
| Portal login and address audit | AIDM | This week | A list showing who has not yet logged into the portal, and anyone still signing in with an old address, so the remaining accounts can be closed out. |
| Home Care Home Base data rebuild | AIDM and ViaQuest Hospice IT | Awaiting | Rebuilding the data lost while the connection was down. It needs the logs from Home Care Home Base and a request from someone on their authorized requestor list. |
| IT needs assessment | AIDM and ViaQuest Hospice IT | In progress | Going back over the tenant transfer that was carried out earlier, checking what was completed properly and what was not, and fixing what we find. It covers the accounts and mailboxes still to be consolidated, permissions and access that were not carried across cleanly, and anything left pointing at the old environment. Phone accounts sit outside this and go with the connectivity provider. |
