ViaQuest Hospice progress this week.

August 3 to 7, 2026

Three new hires start on the portal this week, and it is the first time the onboarding flow carries real people rather than a test run. Role-based course assignment went live at the end of last week, so selecting someone's role now assigns their training automatically instead of module by module. The Hospice Foundation videos are assigned and staff are already working through them. This week brings the What's Happening feature into the portal, expands the new-hire notification workflow so the right people are told automatically, and continues the data access testing with your IT team.

What we need Details
1. Confirming the careers mailbox sign-in and the info@ routing Your HR team needs access to the careers mailbox now that the new hires have started, and the sign-in is not yet confirmed working. The info@ViaQuestHospice.com routing needs confirming alongside it. Both sit with the ViaQuest Hospice IT Admin. These are the most urgent items on this list because recruitment correspondence is arriving now.
2. Home Care Home Base data access Testing is under way with your IT team and a short list of access and monitoring items is being worked through together. Confirming the remaining items lets the census verification finish.
3. Survey questions for the family and facility surveys The survey framework is built and sitting in the portal for review. It needs your question list for both the family survey and the facility survey, plus any limits on what they are allowed to ask.
4. The hiring fields for the new-hire notification Your HR team agreed to send the exact fields the new-hire pop-up should capture. With that list the notification workflow can be finished and switched on.
5. The marketing collateral folder and a priority list A folder of the existing materials, plus a list of the pieces the team uses most often. That set defines the first version of the collateral library.
6. Emergency preparedness and compliance training materials The session presentation and a recording from the live sessions. The training video content gets built from those.

Chief Financial Officer A financial dashboard. Income statement, balance sheet, aging, write-offs, day sales outstanding, vendor spend analysis, and cash flow forecasting in one place. The ask includes a link to the finance system of record so the figures refresh without manual re-entry. High
Chief Financial Officer A geographic staff and patient view. A map showing where staff are based against where patients are located, used for hiring decisions, marketing spend, and caseload planning. Because it places patient location data on a map, it needs a privacy review before it is scoped. That is a governance step, not an objection. Low
Automation
Chief Operating Officer Chart review and QAPI audit automation. Turning the working approach your auditing team put together into a supported tool, with a consistent audit pattern and a record of what was checked, rather than a manual pass each time. It reads from the Home Care Home Base data, so it depends on the connection described at the top of this report. High
Chief Financial Officer Medical coding review automation. Checking the diagnosis-based code on each care plan against the plan itself before claims go out, so billing accuracy is verified up front. The review follows a standard pattern across charts, which is what makes it a candidate for automation. Medium
HR and onboarding
HR Automated credential and compliance tracking. Replacing the manual spreadsheet. Staff see their own list inside their profile, reminders go out as items approach renewal, and managers get a view of what is overdue. Covers driver's license and expiry, auto insurance, CPR, and training accreditations. Medium
HR A separate HR and compliance route in the ticketing system. HR and IT share one category list today, so HR items land in the IT queue. This splits them, gives compliance its own path, and adds a channel for staff to raise a complaint. Medium
Portal features
Client leadership A prayer call link on the website. ViaQuest Hospice runs an internal team prayer call each Thursday morning and is considering opening it to community partners. The request is to add a link on the website so partners can join. The logistics of opening the call up are still being settled on your side, and a short session is arranged to agree the approach. Chief Operating Officer A referral-provider intake portal. Referring providers register an account on the website and upload intake documents there, replacing the current fax process. Referrals arrive in one place and feed through to Home Care Home Base or the dashboard rather than being rekeyed. Medium
Chief Operating Officer A marketing collateral library. Approved collateral held in the portal for staff to view and download, with no upload rights for associates. Managers, HR, and admins get a form to request a new piece, which routes to whoever approves it. Medium
Brand
Founder A full brand transition from ViaQuest Hospice to Cairo Hospice. A program of work rather than a single task. It reaches the training portal, the website, every piece of learner-facing training content, company documents, email domains, and marketing materials. It needs an inventory of everything carrying the current brand, then a phased sequence so each system changes in the right order and nothing breaks partway through. High
Founder An individual marketing and social media plan for the Founder. A personal content and social plan, separate from the ViaQuest Hospice organizational channels, covering content themes, posting cadence, and which platforms to run. Role-based assignment live, role-specific track in build

The portal is live with Orientation, Company Resources, and the Hospice Foundation modules in place across the full portal. The liaison track finished last week, closing all eight videos. Work now moves to the fourth section, role-specific training. The Home Care Home Base training links for all seven roles are loaded, and about seventy percent of the content repeats across roles, so one track gets built once and then duplicated per role with that role's own links swapped in.

The portal is built and running, with role-based dashboards for managers, HR, and admins and a reorganized training admin area. This week's build is the What's Happening @ViaQuest Hospice feature, plus the storefront so staff order uniforms and claim training rewards in one place. Alongside it, employees were mapped to their managers, the job-request workflow was opened up, and the recruitment job-board sync was resolved.

The onboarding flow is the focus this week: the Day 1 and Day 30 forms and the HR AI chatbot, alongside the automated employee survey program, the portal document library and filing system, and a single approver path for job approvals. In planning now, so the annual track can be assigned in January as it is today.

Testing data access with your IT team

The Microsoft tenant migration has completed and the infrastructure now sits in the ViaQuest Hospice tenant, with your own IT team holding it from here. What remains on our side is narrower: testing access to the Home Care Home Base data so the census figures can be verified against the source, and working through a short list of access and monitoring items with your IT team. Support routing is also settling into a single path so each request reaches the right owner, with the portal coming to AIDM and Microsoft, Home Care Home Base, Paycor and the clinical tools going to the ViaQuest Hospice IT team and the department owners.
